Minutes of the SCAC Membership Meeting

Date: Tuesday, May 16, 2017, 1:15-2:15 PM (slight adjustment in start time to accommodate members)
- Survey Monkey Survey of Membership: The members reviewed the survey results as of today (19 responses so far) and Allen suggested some recommendations to pass on to the Steering Committee based on results and comments.
- Committee Recommendations: Based on information gleaned from the survey, Allen suggested some recommendations to pass on to the Steering Committee. Some are based on answers to survey questions. A few are quoted or inferred from the comments provided and/or committee discussion.
- General Meetings:
Consider meeting less frequently – Some other ACEs groups funded under the same initiative meet every other month or even quarterly. Six of 19 respondents checked this as a concern
Consider creating different types of meetings – For example, create a rotating schedule of meetings where the primary purpose is either informational, networking or SCAC business. People can attend the ones they are most interested in. In the discussion, members felt that the meetings on proposed guidelines may have “turned off” some persons.
Add agenda items where members are expected to do something, such as vote, discuss, interact with each other, determine action steps, etc. Include agenda items where members feel their input & presence is needed to decide the outcome. There were several comments that the meetings focused too much on “talking” and did not seem action-oriented.
Possible future topics – while respondents were not necessarily interested in online chat groups, there was interest in the issues of supporting your agency to become more trauma-informed and ACEs and marginalized communities. Six of 19 respondents wanted more group discussion and interaction.

**The choice between being an Active or a Supportive Member is primarily based on the individual’s own level of interest and commitment. Active members have the privilege of voting and the expectation of more engaged and consistent participation in the group’s business.
Enforcement: Official ballots will only be sent to Active Members, who will self-certify that they have either attended a recent meeting, and/or read the background material and are therefore informed about the issue(s) up for vote.
Member approval by Steering Committee – In general, the approval of an Active Member should be a pro forma process. The request must originate from the individual, and cannot be submitted by an agency or another person on their behalf.
The Application – The application should be simple. The following are the suggested elements.
- Contact information (name, agency affiliation, email address)
- Signed agreement to abide by all rules approved by the active membership and to attend at least a specified number of meetings each year. (Perhaps at least 1/3 of regular meetings? 4 of 12 or 2 of 6, if we go to every other month)
- (Optional Item) What committee(s) they wish to join.
- (Optional Item) Brief New Member Statement-Is there anything you want other members to know about you? The Membership Committee would post these introductory statements on our website, and Chairs could use the statements to introduce the new members at their first meeting.
Next Meeting: The June meeting date will be on the second Tuesday (June 13th,) at 1:00 to 2:00 pm. The meeting will be at 625 5th Street
